Privacy Policy

1. Who we are
City Screens Media LLC (“City Screens”, “we”, “us”) operates the indoor digital advertising network described at cityscreensmedia.com. This Privacy Policy explains what information we collect through our website and platform, how we use it, and the choices you have.
2. Information we collect
- Account information. Name, email, business name, phone number, and the role you sign up under (advertiser, host, sales rep, admin).
- Payment & payout information. We use Stripe to process subscriptions and Stripe Connect to disburse host and rep payouts. We never see or store your full card or bank account number; Stripe holds those.
- Tax information. If you earn $600 or more in a calendar year as a host or rep, the IRS requires us to collect a W-9. W-9 PDFs are stored in a private, encrypted Supabase Storage bucket and are accessible only to authorized admin staff.
- Advertising content. Creative files you upload, plus their approval status, play history, and impression counts.
- Usage data. Standard server logs (IP address, user agent, timestamps) generated when you visit the site or sign a contract electronically.
3. How we use your information
- To operate the platform — display ads, process payments, disburse payouts, send proof-of-play reports.
- To send transactional emails: receipts, payout confirmations, contract renewals, content review notifications.
- To comply with tax and accounting law (1099-NEC reporting, sales tax, audit trail).
- To improve the product and detect fraud or abuse.
We do not sell your personal information. We do not share it with third parties for their marketing.
4. Service providers we share with
- Supabase — auth, database, file storage
- Stripe — payment processing and Connect payouts
- Resend — transactional email delivery
- Yodeck — digital-signage CMS that runs ad creative on physical screens
- Vercel — application hosting and CDN
- Google Maps — interactive location maps
Each provider receives only the data necessary to deliver their service.
5. Data retention
We retain account and contract records for as long as your account is active and for at least 7 years after closure to satisfy financial-record-keeping requirements. Tax forms (W-9, 1099-NEC) are retained for the IRS-required period. Server logs are kept for 90 days.
6. Your choices
- Access & correction. Sign in to update your profile, payment method, or W-9 at any time.
- Deletion. Email privacy@cityscreensmedia.com to request account deletion. We'll honour the request subject to record-keeping obligations.
- California (CCPA) and EU/UK (GDPR) residents. You have additional rights including data portability and the right to know what we hold. Contact us at the address above.
- Email opt-out. Marketing emails include an unsubscribe link. We will continue to send transactional emails (receipts, payout notices) so long as you have an active account.
7. Security
We use industry-standard practices: TLS in transit, encryption at rest, role-based access control, audit logging on every privileged action. We will notify affected users of any data breach within 72 hours of confirmation as required by law.
8. Cookies
We use first-party cookies for authentication and session management. No third-party advertising or tracking cookies are set by our website.
9. Changes to this policy
We will post material changes to this page and update the “Last updated” date. For significant changes, we'll also notify active accounts by email.
